Schedule a Meeting

Available Roles: Host, Co-host Platforms: Web, Mac, Windows, Linux Reviewed: 2026-03-14

Scheduling in Hyper is where time, people, access policy, prep, and follow-up are stitched together. Use the scheduler whenever the meeting should have a stable link, calendar presence, agenda, or recurring series rather than behaving like a throwaway instant room.

The final review is where you confirm recurrence, guest list, agenda, and calendar sync before the meeting becomes the team's source of truth.

  • Connect the calendar account you want to use for event sync.
  • Decide whether the meeting should be open, restricted, or protected by a waiting room.
  • Know whether this should be a one-off meeting or a recurring series with rolling context.
  1. Open Schedule a meeting from workspace home, the meetings list, or the browser extension.
  2. Add the title, date, time, timezone, and optional description.
  3. Choose the agenda template or build a custom agenda if you want attendees to prepare in advance.
  4. Add guests and recurrence if the meeting should repeat.
  5. Select the writable calendar destination if you want an external event created.
  • Use Open for broad internal sessions where the link can be shared safely.
  • Use Restricted when only members, teams, or explicit email addresses should be able to enter.
  • Use the waiting room when the host wants a final admission decision even for invited participants.
  • Add or select an agenda template when the meeting should start with a defined structure.
  • Keep recurring meetings in one series so prep and previous notes remain attached.
  • Decide whether recap artifacts should later be shared into Slack, Notion, or other systems.
  • Open the meeting page and review the join link, guest list, agenda, and access settings.
  • Verify the external calendar event if calendar sync is part of the workflow.
  • Share the invite from the meeting page only after the access policy is correct.

The calendar event did not look right after save

Section titled “The calendar event did not look right after save”
  • Confirm the selected calendar is writable and still connected.
  • Check whether the change applied to a single occurrence or the full series.
  • Re-open the Hyper meeting page first, then compare it to the external event.

Invitees cannot get into the meeting I scheduled

Section titled “Invitees cannot get into the meeting I scheduled”
  • Check whether you created a restricted meeting but only shared the link.
  • Verify team, email, and waiting room settings instead of assuming the invite alone is enough.
  • Ask guests to sign in or use the correct email if the policy depends on identity.
